1. Introduction

BookingAide (“we”, “us”, or “our”) operates a booking and scheduling platform. This Privacy Policy describes how we collect, use, and share information when you use our services.

By using BookingAide, you agree to the collection and use of information in accordance with this policy. If you have questions or concerns, contact us at support@bookingaide.com.

2. Information We Collect

We collect several types of information:

Account information. When you register as a business owner, we collect your business name, email address, password (stored as a hashed value — we never store your plain-text password), and timezone. When customers book, we collect their name, email address, and phone number.

Booking data. We collect details about appointments and bookings, including selected services, requested times, intake form answers, and booking status changes.

Payment information. Payment processing is handled by Stripe. We do not store credit card numbers or full payment card information. We receive and store a reference to your Stripe payment method (a token) and transaction records (amounts, dates, status) necessary for business operations and dispute resolution.

Usage data. We collect basic information about how you interact with the Service, including browser type, operating system, referring URLs, and pages visited. This data is used to improve the Service.

Communications. We store records of emails sent through the Service (confirmations, reminders, etc.) and any messages you send to our support team.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process bookings and payments on your behalf
  • Send automated booking confirmations, reminders, and notifications
  • Allow customers to leave reviews and business owners to respond
  • Prevent fraud and abuse
  • Respond to your support requests
  • Improve and develop new features for the Service
  • Comply with legal obligations

We do not sell your personal information to third parties. We do not use your data to serve third-party advertising.

4. Sharing of Information

We share your information only in the following circumstances:

With business owners. When a customer makes a booking, their name, email, phone number, and booking details are shared with the relevant business owner so they can manage the appointment.

Service providers. We work with third-party companies to operate the Service. These providers only have access to your information as needed to perform their functions and are required to maintain its confidentiality.

  • Stripe — payment processing
  • Resend — transactional email delivery
  • Cloudflare R2 — file storage for uploaded images
  • Railway — cloud infrastructure and hosting

Legal requirements. We may disclose your information if required to do so by law or in response to valid requests by public authorities.

Business transfers. If BookingAide is acquired by or merged with another company, your information may be transferred to that company. We will provide notice before your information is transferred and becomes subject to a different privacy policy.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. We also retain information to comply with legal obligations, resolve disputes, and enforce agreements.

When you delete your account, we will delete or anonymise your personal information within 90 days, except for information we are required to retain for legal or compliance purposes (such as transaction records).

6. Cookies and Local Storage

BookingAide uses browser local storage to store your authentication token so you remain logged in between sessions. We do not use third-party tracking cookies or advertising cookies.

You can clear your browser's local storage at any time to remove stored tokens. Doing so will log you out of the Service.

7. Security

We take reasonable measures to protect your information from unauthorised access, loss, misuse, or alteration. These measures include encrypted data transmission (TLS), hashed password storage, and access controls limiting who can view your data.

However, no method of transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee the absolute security of your information.

8. Your Rights

Depending on your location, you may have rights over your personal data, including:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate or incomplete data
  • Deletion — request deletion of your personal data (subject to legal obligations)
  • Portability — request a machine-readable copy of your data
  • Objection — object to certain types of processing

9. Children's Privacy

The Service is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us and we will delete it promptly.

10. SMS Messaging

When you provide a mobile phone number and opt in to SMS reminders during the booking process, we use that number to send you automated appointment reminder text messages on behalf of the business you are booking with.

What we send. We send one (1) automated reminder message per booking, prior to your scheduled appointment. Messages are informational only and contain your appointment details.

Consent. SMS opt-in is entirely voluntary. You must affirmatively check the opt-in box during booking to receive SMS reminders. Consent to receive SMS messages is not required to make a booking or purchase any service.

How to opt out. Reply STOP to any reminder message at any time to unsubscribe. You will receive no further SMS messages. You can also contact us at support@bookingaide.com to request removal.

Message & data rates. Standard message and data rates may apply depending on your mobile carrier and plan.

SMS service provider. SMS messages are delivered via Twilio, our third-party SMS provider. Your phone number is shared with Twilio solely for the purpose of message delivery. Twilio is required to protect your information and may not use it for any other purpose.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the “Last updated” date. We encourage you to review this policy periodically.
